Import and update a CRM pipeline
Import HubSpot or GoHighLevel stages, keep them aligned, and load existing leads.
Import a CRM pipeline after connecting HubSpot or GoHighLevel. This gives CJM a local, configurable copy of the CRM stages; it does not classify them or import leads automatically.
Import the pipeline
- Open Pipeline → Connections and select Complete Setup or Manage on the connected CRM.
- In the import window, select a CRM pipeline.
- Optionally change Pipeline Name. This only changes the name shown in CJM.
- Select Import Pipeline.
- CJM opens the imported pipeline's mapping page. Map each CRM stage before relying on funnel results.
The import copies the available CRM stages and their order into CJM. New stages start without a CJM classification, so they do not automatically mean Lead, SQL, Won, or another funnel stage. See Map pipeline stages.
Keep stages aligned
After a CRM administrator changes its pipeline, open Pipeline → Mapping, choose the imported pipeline, and select Sync stages.
The preview shows four possible changes:
- New stages are added to CJM without a CJM classification.
- Renamed stages are renamed in CJM.
- Reordered stages receive the CRM order in CJM.
- Removed CRM stages become inactive in CJM; they are not deleted.
Select Apply sync only after reviewing the preview. Sync stages changes the pipeline structure only: it does not import leads, recreate deleted stages, or overwrite the CJM-stage choices already saved for existing stages.
Import existing leads
Use Import leads on an imported HubSpot or GoHighLevel pipeline when you need the existing CRM contacts and opportunities in CJM.
- Open Pipeline → Mapping and select the imported pipeline.
- Select Import leads.
- Review Leads preview: it lists the count available for each mapped CRM stage and the total.
- Select Start import.
- Follow the import job in the dashboard until it completes or reports a failure, then open the pipeline and funnel to check the imported records.
The import runs in the background. Starting it confirms that CJM queued the job, not that every lead has been imported. For historical records, CJM uses available CRM stage history when it can, so funnel milestones can reflect past progression rather than only the import time.
Lead import is a snapshot of existing CRM data. It does not replace future CRM events or stage updates, and Sync stages does not run it for you.
Common problems
- No pipelines are available: create a pipeline in HubSpot or GoHighLevel first, then reconnect if access was recently changed.
- Import leads is missing: select an imported pipeline. Manual and Custom CRM pipelines do not support CRM lead import.
- The preview cannot load: you can start the import, but first check that the CRM connection remains active and the pipeline still exists.
- The funnel is empty after import: map the imported stages to CJM stages, then check the import job and selected pipeline.
